A signature request is an emailed request to sign a document electronically. Each signer gets a private link, opens the document in a browser, and signs without an account or a password. In Oversite you send a pay request or a change order to the engineer, the prime contractor, and the owner, watch who has opened and signed it, and get the signed copy filed in the project File Cabinet when the last signature lands.

Pay requests and change orders are finished long before they are signed, because signing still happens outside the system.

The pay request goes out as a PDF attachment. Someone prints it, signs it in ink, scans it, and emails it to whoever they think is next. What comes back is a photograph of a document.

The request sits in an inbox with no way to tell whether it was opened, forwarded, or missed. Chasing it means calling three people to ask whether they have seen it.

Pick the signers

Tick the engineer, the prime contractor, and the owner, add an email address for each, and choose whether they all sign at once or one after another. Names prefill from the document.

S_02 SIGN

They sign in a browser

Each signer gets a private link. They agree to the electronic signature consent, read the document, and draw, type, or upload a signature. No account, no password, no app.

S_03 TRACK

Watch it land

The tracking view shows who was sent the document, who opened it, and who signed, with timestamps. Remind anyone sitting on it, or void the request and revoke every open link.

01. Three signers, in the order you choose.

A request covers the engineer, the prime contractor, and the owner. Send to all three at once when the signatures are independent, or set an order and let Oversite invite each person as the one ahead of them signs. Drag the rows to change the sequence. A role that already signed the document is carried into the request and is not emailed again.

02. Your signers do not need an account.

The link opens a signing page with the document read only and a gold marker on the line they are responsible for. They agree to the electronic signature consent, then draw, type, or upload their signature and finish. A signer who cannot accept the document declines with a reason instead, which pauses signing and emails you the reason. It works on a phone, and the link stays good for 30 days.

03. Know who opened it before you chase them.

Every signer carries a live status: sent, viewed, signed, or declined, with the timestamp. The view refreshes on its own while the request is out, and the Actions button carries a badge for how many signatures are still outstanding. Remind one signer or everyone still pending, or void the request to kill every open link. When the last signature lands, Oversite files the signed PDF in the project File Cabinet and emails a copy to everyone who signed.

What is a signature request?

A signature request is an emailed request to sign a document electronically. Oversite sends each signer a private link to a pay request or a change order, records their consent and their signature, and tracks who has opened and signed it.

Do signers need an Oversite account?

No. The link in the email is all they need. Signers never create an account or a password. They tick the electronic signature consent, review the document, then draw, type, or upload their signature.

Who gets sent a document for signature?

The engineer, the prime contractor, and the owner. CEI users set up and manage the request. Anyone invited can sign, whatever their role and whether or not they use Oversite.

How long is a signing link good for?

30 days from when it was sent. Every reminder issues a fresh link and resets the 30 days. Voiding a request revokes every link that has not been used.

What happens if a signer will not sign?

They decline and give a reason, which is required. Signing pauses for everyone, you are emailed the reason, and the other signers are not told. On a pay request you can send a fresh request once you have addressed it.

Where does the signed document go?

Oversite generates a signed copy when the last signature lands, files it in the project File Cabinet, and emails it to every signer and to you. The signed PDF is attached when it is small enough, and a download link goes out when it is not.
